With Nobly’s implementation of OnBase, the pension company Velliv has centralised several million documents in a digital archive that streamlines workflows and delivers significant cost savings.

A need for one unified archive

Previously, the pension company Velliv had both physical and several digital archives located in different places. They therefore needed to gather their document archives in one place, and in early 2021 Velliv decided to acquire a new digital archive system that centralises all of the company’s digital documents. The ECM system OnBase, with Nobly as supplier and implementation partner, was selected by Velliv from among eight potential IT suppliers.

Peter Thomsen, Department Director, Customer Service at Velliv, explains: “The OnBase solution supports our needs best, because the system has a number of features that we found to be better than what other suppliers on the market can offer.”

The previously slow and resource-heavy processes of manual handling, printing and scanning have now been replaced by the digital archive in OnBase. At the same time, Velliv saves the printing of several million sheets of paper a year, which is both a financial and, not least, an environmental gain from the transition to the new digital archive solution.

Once digital, always digital

Since the implementation of OnBase, Velliv has migrated 16 million documents, and the company is now working on migrating a further 8.5 million documents. The digital archive solution in OnBase means that the company’s employees will soon only need to look in one place when they need to find relevant customer information.

As a pension company, Velliv handles a great deal of sensitive personal information about its customers, and OnBase is specifically geared to handle GDPR. At the same time, Velliv has a significant need to control who has access to different documents, and that feature was therefore configured in OnBase.

Peter Thomsen elaborates: “It was important to us that we could see the potential of the system in several areas. Nobly delivers a really good product in OnBase, because it is easy to integrate and configure.”

With OnBase, Velliv has gained a system that meets the company’s existing and future needs within its overall digitalisation strategy, and according to Peter Thomsen, Velliv is therefore already looking into other areas where OnBase can be used to advantage.
